AushadiPro ("AushadiPro", "we", "us", or "our") respects your privacy and is committed to protecting the information entrusted to us when you use our website, web application, mobile application, APIs, software and related services (collectively, the "Services").

This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, when we may share it, and the choices and rights available to you.

By creating an account or using AushadiPro, you acknowledge that you have read and understood this Privacy Policy.


1. About AushadiPro

AushadiPro is pharmacy management software designed to help pharmacies manage their day-to-day business operations, including billing, inventory, purchases, expiry management, customer management, staff management, reports, communication and related activities.

AushadiPro is a software service. AushadiPro does not itself operate a pharmacy, dispense medicines, prescribe medicines, diagnose medical conditions or provide medical treatment.


2. Information We Collect

Depending on how you use AushadiPro, we may collect the following categories of information.

2.1 Account Information

When you register for an account, we may collect:

  • Name
  • Mobile number
  • Email address
  • Login and authentication information
  • Password information in protected form
  • Pharmacy or business name
  • Pharmacy address
  • Business contact information
  • Subscription information
  • Account status and account activity

2.2 Pharmacy and Business Information

To provide pharmacy-management functionality, you may provide:

  • Pharmacy name and address
  • Drug licence information
  • Pharmacist registration information
  • GST information
  • Business and ownership information
  • Supplier information
  • Purchase information
  • Inventory information
  • Medicine information
  • Batch numbers
  • Expiry dates
  • Purchase and selling prices
  • Stock quantities
  • Sales and billing information
  • Expenses
  • Customer outstanding balances
  • Reports and business records

2.3 KYC and Verification Information

Where verification is required, AushadiPro may collect documents and information such as:

  • Drug licence documents
  • Pharmacist registration certificates
  • GST documents
  • Business documents
  • Identity documents
  • Address documents
  • Owner or proprietor information
  • Photographs or other verification information

Such information may be used for account verification, fraud prevention, security, account activation and compliance with applicable law.

2.4 Customer Information Entered by Pharmacies

Pharmacies using AushadiPro may enter information about their customers, including:

  • Customer name
  • Mobile number
  • Address
  • Purchase history
  • Billing information
  • Loyalty information
  • Outstanding payment information
  • Reminder information
  • Other information voluntarily entered by the pharmacy

The pharmacy is responsible for determining what customer information it collects and for complying with applicable privacy, pharmacy, healthcare and other legal requirements applicable to its collection and use of that information.

Where a pharmacy uses AushadiPro to process customer information on its behalf, AushadiPro processes that information to provide the Services and according to the pharmacy's instructions, applicable agreements and applicable law.

2.5 Payment Information

When you purchase a subscription or other paid service, payment transactions may be processed by third-party payment providers.

We may receive information such as:

  • Transaction ID
  • Payment status
  • Amount
  • Currency
  • Date and time
  • Subscription or plan information

Payment providers may separately process card, bank, UPI or other payment credentials according to their own privacy policies.

2.6 Technical and Usage Information

We may automatically collect information necessary to operate and secure the Services, including:

  • IP address
  • Device information
  • Browser information
  • Operating system
  • Application version
  • Login timestamps
  • Session information
  • Error information
  • Security logs
  • Performance information
  • Usage information

2.7 Information Stored on Your Device

Some AushadiPro functionality, particularly offline functionality, may store certain information locally on your device or browser.

This may include information necessary to:

  • Continue billing while offline
  • Access previously synchronized medicine information
  • Maintain offline inventory information
  • Maintain pending transactions
  • Synchronize transactions when connectivity returns

The availability and amount of locally stored information depends on the features being used and the device or browser configuration.

You are responsible for protecting the device on which AushadiPro is used.


3. How We Use Information

We may process information for the following purposes:

1. Creating and managing accounts.

2. Authenticating users.

3. Verifying pharmacy and business information.

4. Providing billing and inventory functionality.

5. Providing purchase and expiry management.

6. Providing customer and staff management.

7. Providing reports and analytics.

8. Processing subscriptions and payments.

9. Providing customer support.

10. Sending OTPs and authentication messages.

11. Sending service-related email, SMS, WhatsApp or other communications requested by the user.

12. Processing and synchronizing offline transactions.

13. Preventing fraud and unauthorized access.

14. Detecting security incidents.

15. Troubleshooting and improving the Services.

16. Maintaining backups and recovering data.

17. Complying with legal and regulatory obligations.

18. Enforcing our Terms and Conditions.

19. Protecting the rights, property and security of AushadiPro, our users and others.

20. Performing other purposes disclosed at the time information is collected or otherwise permitted by applicable law.


4. Legal Basis for Processing

Depending on the circumstances, personal information may be processed:

  • With consent;
  • To provide Services requested by you;
  • To perform obligations arising from your use of the Services;
  • To comply with applicable legal obligations;
  • For legitimate purposes permitted under applicable law;
  • To protect against fraud, security threats or misuse; or
  • On another lawful basis available under applicable law.

Where consent is the applicable basis for processing, you may withdraw consent in accordance with applicable law.

Withdrawal of consent may affect our ability to provide certain features or Services where that processing is necessary for those features.


5. Customer and Pharmacy Data

AushadiPro distinguishes between information relating to your AushadiPro account and business/customer information entered into AushadiPro by a pharmacy.

As between AushadiPro and the pharmacy, the pharmacy retains its rights in the business and customer information it lawfully provides to the Services.

AushadiPro receives permission to host, store, process, transmit, synchronize and otherwise use such information only as reasonably necessary to:

  • Provide the Services;
  • Maintain and secure the Services;
  • Synchronize information;
  • Provide customer support;
  • Prevent fraud and abuse;
  • Perform backups and recovery;
  • Improve the Services using appropriate aggregated or de-identified information; and
  • Comply with applicable law.

6. Medicine and Health-Related Information

AushadiPro may process information relating to medicines purchased by customers or information entered by pharmacies concerning medicines and customers.

Such information may potentially reveal information about a person's health or healthcare activities.

AushadiPro does not independently determine medical treatment based on such information.

Pharmacies are responsible for ensuring that information entered into AushadiPro is collected and processed lawfully.

AushadiPro does not provide medical diagnosis, medical treatment, prescriptions or professional medical advice.


7. Communication Services

AushadiPro may provide functionality for sending:

  • Bills
  • Payment reminders
  • Order-related messages
  • Customer reminders
  • Greetings
  • Other pharmacy communications

through services such as WhatsApp, SMS or email.

When you use such functionality, the information necessary to send the requested communication may be shared with the relevant communication provider.

The recipient's use of WhatsApp, SMS, email or another third-party service is subject to that provider's own terms and privacy practices.

AushadiPro does not control the privacy practices or availability of third-party communication platforms.


8. Service Providers

We may use trusted third-party service providers to operate AushadiPro.

These may include providers of:

  • Cloud infrastructure
  • Database hosting
  • File storage
  • Payment processing
  • SMS and OTP delivery
  • Email delivery
  • WhatsApp or communication services
  • Authentication
  • Monitoring and error reporting
  • Security
  • Analytics
  • Customer support
  • Backup and recovery

Such providers may process information only to the extent reasonably necessary to provide their services to us or as otherwise permitted by applicable law.


9. Data Security

We use reasonable technical and organizational measures designed to protect information against unauthorized access, alteration, disclosure, loss, destruction and misuse.

Depending on the information and system involved, these measures may include:

  • Encryption in transit
  • Access controls
  • Authentication controls
  • Role-based permissions
  • Secure password handling
  • Security logging
  • Monitoring
  • Infrastructure security controls
  • Backup and recovery mechanisms
  • Administrative security controls

No electronic system or method of transmission over the internet can be guaranteed to be completely secure.

Accordingly, while we take reasonable measures to protect information, we cannot guarantee absolute security.


10. Account and Staff Security

You are responsible for maintaining the confidentiality of your account credentials and for ensuring that only authorized persons access your account.

Where AushadiPro provides staff roles and permissions, the account administrator is responsible for:

  • Assigning appropriate permissions;
  • Removing users who no longer require access;
  • Protecting account credentials; and
  • Reviewing access where appropriate.

You should notify us promptly if you suspect unauthorized access.


11. Offline Data Security

When using offline functionality, information may remain on the device until it is synchronized, removed by the application or deleted according to the applicable functionality.

AushadiPro cannot control physical access to your device.

You should use appropriate device security, including:

  • Device passwords or passcodes;
  • Operating system security updates;
  • Restricted browser/application access; and
  • Appropriate access controls for employees.

If a device is lost, stolen or compromised, locally stored information may be exposed.


12. Data Sharing and Disclosure

We may disclose information where reasonably necessary to:

  • Provide the Services;
  • Process payments;
  • Deliver requested communications;
  • Provide technical infrastructure;
  • Maintain security;
  • Prevent fraud;
  • Provide customer support;
  • Comply with legal obligations;
  • Respond to lawful governmental or regulatory requests;
  • Protect our legal rights;
  • Investigate suspected violations; or
  • Facilitate a merger, acquisition, restructuring or sale of business assets.

We do not sell personal information to third parties for monetary consideration.


13. Legal and Regulatory Requests

We may preserve or disclose information when we reasonably believe it is necessary to:

  • Comply with applicable law;
  • Respond to a valid legal process;
  • Respond to governmental or regulatory authorities;
  • Prevent fraud or illegal activity;
  • Protect a person from serious harm;
  • Protect our systems or property; or
  • Enforce our legal agreements.

14. Data Retention

We retain information only for as long as reasonably necessary for the purposes for which it was collected, including:

  • Providing the Services;
  • Maintaining account and business records;
  • Meeting contractual obligations;
  • Meeting legal, tax, accounting or regulatory requirements;
  • Resolving disputes;
  • Preventing fraud;
  • Maintaining security; and
  • Enforcing agreements.

Different categories of information may be retained for different periods.

Where information is no longer required and there is no legal or legitimate reason to retain it, we may delete, anonymize or securely dispose of it.


15. Account Closure and Deletion

You may request closure of your AushadiPro account.

Depending on the account type, outstanding obligations, applicable law and technical requirements, certain information may need to be retained for a period after account closure.

We may retain information where required or permitted by law, necessary to establish or defend legal claims, prevent fraud, maintain security, complete financial records or comply with regulatory requirements.

Where deletion is appropriate, we will take reasonable steps to delete or anonymize applicable information.


16. Your Privacy Rights

Subject to applicable law, you may have rights relating to your personal data, including the right to:

  • Obtain information about processing;
  • Request access to personal information;
  • Request correction of inaccurate or incomplete information;
  • Request deletion where applicable;
  • Withdraw consent where consent is the basis of processing;
  • Raise a grievance;
  • Nominate another individual where such right is applicable; and
  • Exercise other rights available under applicable law.

Requests may be submitted through the privacy or support contact mechanism provided by AushadiPro.

We may require reasonable verification of identity before acting on certain requests.


17. Consent Withdrawal

Where processing is based on consent, you may withdraw your consent using the method made available by AushadiPro.

The ease of withdrawal will be designed to be comparable to the manner in which consent was provided, where required by applicable law.

Withdrawal does not affect the lawfulness of processing performed before withdrawal.

Certain Services may no longer be available where the information is necessary to provide those Services.

We will review and address grievances within the period required by applicable law.

If applicable law provides an additional right to approach a regulatory authority or the Data Protection Board, nothing in this Privacy Policy prevents you from exercising that right.


19. Cookies and Similar Technologies

AushadiPro may use cookies, local storage, session technologies and similar mechanisms to:

  • Maintain authentication sessions;
  • Protect accounts;
  • Remember preferences;
  • Support application functionality;
  • Improve performance;
  • Understand usage;
  • Detect errors; and
  • Improve security.

Some technologies are necessary for the Services to function and may not be optional.

You may control certain browser-based technologies through your browser settings, although disabling them may affect functionality.


20. Children's Information

AushadiPro is intended for pharmacy businesses and authorized users and is not designed to be used independently by children.

AushadiPro does not knowingly seek to collect personal information directly from children for independent use of the Services.

Pharmacies may, however, enter information concerning customers who are minors where necessary for legitimate pharmacy operations and permitted by applicable law.

The pharmacy remains responsible for ensuring that such processing is lawful.


21. International Processing

AushadiPro and its service providers may process or store information using infrastructure located in India or other jurisdictions, depending on the services and infrastructure used.

Where information is transferred or processed outside India, we will take measures required by applicable law.


22. Business Transfers

If AushadiPro undergoes a merger, acquisition, restructuring, financing, sale of assets or similar transaction, information associated with the Services may be transferred as part of that transaction, subject to applicable law.

Any successor or acquiring entity will be required to handle personal information in accordance with applicable legal requirements.


23. Changes to this Privacy Policy

We may update this Privacy Policy from time to time.

If we make material changes, we may provide notice through the AushadiPro application, website, email or another appropriate method.

The updated policy will display its revised "Last Updated" date.

Your continued use of AushadiPro after the effective date of an updated policy constitutes acceptance where legally applicable.
